Who is responsible

PhonicVibe is operated by Jonathan Rolleston, the data controller for this website and its support service. To ask a privacy question or exercise your data rights, open Support and choose “Privacy or data request”. The support form is our current working contact route. We do not currently offer an active privacy email address.

Drift and Drift Mobile

The current apps generate audio on your device. They do not require a PhonicVibe account, send us listening history, contain advertising or analytics trackers, record your microphone, or collect HealthKit or Apple Watch sleep data. App preferences stay on your device. Proposed microphone and Watch features are not included in the current apps. App Store purchase verification, when enabled, communicates with Apple. Purchases and App Store services are handled by Apple under Apple's own privacy policy.

This website and support requests

If you contact us, we collect your email address, the optional name you provide, the product or topic, subject, message, time of submission, and confirmation that you have read this policy. Staff may add a status, assignment and internal notes while handling the request. Please do not include passwords, payment card details or sensitive health information. Providing a name is optional; the remaining form fields are needed to receive and handle your request. Your request is stored in our private CMS queue. Ordinary support submissions do not send an automatic email or provide a public ticket lookup. Data-access requests may send an email verification challenge and a protected download link after staff review.

Our lawful basis for handling ordinary support requests is our legitimate interest in providing product support and maintaining a secure service. We use the information to investigate your request and respond using the email address you supply when a response is possible. A privacy-policy acknowledgement records that the notice was shown; it is not permission for advertising. Privacy and data-rights requests may also be processed to meet our legal obligations. We do not sell personal data, use support messages for advertising, or make automated decisions about you.

Security information and cookies

The web server records technical access logs, including IP addresses, request paths, status codes and times, to operate and protect the site. Access logs are rotated and retained for up to 14 days. The support application uses a keyed, daily-changing digest of your IP address to limit spam; it does not store the raw address with your support ticket. These rate-limit records expire after one day and are removed by daily maintenance, within 48 hours. Do not place personal information in URLs.

We use essential cookies for form security, support confirmation and CMS administrator sessions. The CSRF security cookie can remain for up to one year; session cookies expire when your browser session ends, with server-side sessions expiring after at most seven days. We do not use advertising, tracking pixels or third-party analytics. You can clear cookies in your browser; support forms and the CMS need essential cookies to function.

Storage, sharing and retention

Support requests are accessible only to authorised operators in our CMS. Infrastructure providers process data to host and maintain the service. We may disclose information when legally required. We use access controls, HTTPS and restricted server storage, but no system can guarantee absolute security. Any new provider or international transfer that changes this policy will be reflected here with the applicable safeguards.

We keep open requests while they are being handled. Resolved or closed support requests and associated internal notes are deleted 12 months after resolution or closure, unless a specific legal obligation requires longer retention. Reopening a request restarts that period when it is closed again. Server-local database backups are retained for seven days, so a deleted record can remain in a restricted backup until that backup expires. Access logs and rate-limit records follow the shorter periods above. You may request earlier deletion, subject to legal obligations and information we reasonably need to resolve an ongoing issue.

Your rights

Depending on applicable law, you may ask to access, correct or delete your personal information, restrict or object to processing, or obtain a portable copy where that right applies. We may need enough information to verify that the data belongs to you. Submit a “Privacy or data request” through Support. We will handle it under the applicable statutory deadlines. You can also complain to the UK Information Commissioner's Office at ico.org.uk or your local data protection authority.

Changes and external links

This policy covers the PhonicVibe website, Drift apps and the Clarion features described here. If we change how we process information, we will update this page and its date. App Store pages and research links are external services with their own privacy policies.

Requests for a copy of your data

Choose “Get a copy of my personal data” in Support to enter our data-access queue. You can also describe a rights request in an ordinary message; a particular form or wording is not required. Our sending mailbox is support@phonicvibe.com. We normally use a one-time email challenge and a staff check that the records relate to you. We may agree another proportionate check where needed. Do not send photographic ID unless we explain why it is necessary; this website does not provide an ID upload facility.

Authorised staff compile an HTML response, check its scope and redact information where appropriate before approving the exact file for release. Email address matching covers website support records; staff must consider other relevant sources, such as separate email correspondence. We record request handling and access to the case and compiled data, including staff actions, approval, dispatch, retrieval, deletion and expiry. Verification and delivery links contain temporary credentials; keep them private.

Compiled drafts expire seven days after creation. A released copy is available for up to seven days after release, or until you explicitly ask to delete it sooner. Access ends at expiry; hourly maintenance removes expired files, normally within an hour while the service is operating. Compiled files are held separately from database backups. A downloaded copy saved on your device is under your control. An expired link does not end your rights or mean an unanswered request is complete; contact us to arrange another delivery or an accessible alternative.

We keep minimal case and audit information for up to 365 days after closure to demonstrate how the request was handled and investigate related complaints, with earlier deletion considered when no longer needed. These are PhonicVibe retention choices, not fixed periods required by the ICO. The original support records follow their own retention period; records needed for an open access request are protected from routine deletion. Database backups can contain source records and case metadata for a further seven days. We use these records to meet data-rights obligations and maintain the security and accountability of this service.

Clarion

Clarion is an audio-cleanup app for Mac, currently in development. It processes audio from local files you select and can capture microphone input when you start a live-input session and grant macOS microphone permission. Audio enhancement, including the bundled speech-enhancement model, runs on your Mac. Clarion does not upload your audio to PhonicVibe or an external AI service, require a PhonicVibe account, or include advertising or analytics trackers.

Recordings, exports and noise profiles are saved locally under your control. A saved noise profile can contain spectral measurements and source, device, file-path and capture metadata. Review these files before sharing them; shared profiles should not be treated as anonymous. You control any copies you export or share, including files placed in folders that another service synchronises or backs up. If you send information through our support form, the website and support provisions in this policy apply.
